Key Group came to us with a need to streamline their payroll process and improve operational efficiency
Key Group, a building services company with hundreds of staff across the UK, had complex shift patterns and pay rates. They needed a custom software solution to manage their payroll from end to end, reduce administrative overhead and improve accuracy.
What issues did we set out to fix?

The dynamic shift patterns and varied pay rates made payroll processing complicated and time consuming.

Heads of department were spending hours collecting and verifying hundreds of paper based timesheets, resulting in inefficiencies and errors.

With staff based in multiple locations, Key Group needed a solution that allowed employees to enter job times on the move so payroll could be processed in a timely and accurate manner.

The existing system didn’t have the tools for management to easily review and approve timesheets so there were bottlenecks in the payroll process.
A bespoke software solution

We developed a bespoke software solution that managed the entire payroll process from timesheet entry to final payroll processing. The system was designed to accommodate the complex pay rates and dynamic shift patterns of Key Group’s business so payroll was accurate and on time.

The solution included a mobile app that allowed staff to enter their job times on the move. The app was user friendly and accessible so employees could submit timesheets in real time reducing delays in payroll processing.

A management portal was created where supervisors could easily review, edit and approve timesheets before payroll processing. This portal gave a clear overview of all submitted timesheets so management could identify and correct any discrepancies.

The system automated the payroll calculation and processing steps reducing manual workload and minimising errors. This automation ensured payroll was processed efficiently and accurately even with complex pay structures.
